Board of Directors Special Meeting
August 2, 2009

The meeting was called to order at 16:15.

Gary stated that Jim Harlan was not able to attend and asked for someone to take minutes. Gary is not able, Larry declined, Neil does not hear well and Mike will be doing the major amount of the presentation. Kate agreed to take notes.

Subject:
Repair of the North Septic System at the Bayshore Beach Club.
Mike presented a description of the situation.
The current north septic tank failed. The sewage backed up into the showers as the tank was full.
The county has no record of this tank and the septic company discovered that this was a metal tank and felt that it was unsafe to pump due to possible collapse.
There is a record of the south septic tank that services the apartment.
Bill Zeekon from Lincoln County Planning stated that they will allow us to replace it with a 2 compartment system and reroute the concrete in case we find that we need a sand filter system.
It is unknown if we have a proper drain field for this system.

Bids were received by 2 companies:
Bales Construction estimated the work to cost $4200.00 and included pumping the tank.
Thissell Construction estimated the work at $3100.00 but did not include pumping which would cost $250.00.

Mike moved that we accept the Thissell bid. Seconded by Neil.
Discussion included the fact that there is currently a concrete sidewalk over the area which would have to be replaced. There is also a water line over the system which will need to be repaired.
The motion was amended to include the pumping and a 10% variance for a total of $3350.00 =/- 10%.
Passed unanimously.

Other Items
Gary noted that we will need a new pool attendant. Lloyd Haines was suggested who is a former BOD member and is willing to take this position.

Sylvia Higuchi asked about the recent settlement of the lawsuit against the BOD. Gary stated that a settlement had been reached but we had not been informed of what the particulars were.
