Community Affairs Meeting
September 24, 2009

The committee conducted a luncheon meeting at the new Waldport Community Golf Course restaurant at 11:30am on Thursday, September 24, 2009. Attendees included: Dorothy Bogumil, Naoma Clark, Marci Douglas, Kempton Hewitt (Board Liaison), Gary and Bev Simpson, and Rose Cummins (chair). Inge Daeschel, who lives and works out of town was unable to attend.

1. 9/27/09 Bayshore Pool Party/Potluck Dinner – Plans for the event were finalized with no significant revisions from the prior meeting. Approximately 30 people have signed up to attend. We will meet at the clubhouse at 1:00pm to decorate and set up. There will be pick up pool volleyball games for anyone who wants to play. We will begin the pool party at 4:00pm for Bayshore members and their guests. The pool will remain open until 8:00pm and the potluck dinner will be held at 6:00pm. We will provide poolside snacks, ice cream sundaes coffee & punch.

Dorothy will prepare a sign up sheet for members so we can make sure we get accurate email addresses for our members. Rose will also do handouts of our upcoming social events available for folks to take with them. We all plan to stay and clean up.

2. Rose provided a Community Affairs Committee Report to the Board at their meeting on Saturday, September 21. She provided copies of our mission statement (as it appears on the attached agenda) to the Board and they endorsed this statement. Some examples of the committee’s ideas and work that would support this mission statement were presented to the Board. They include: continuing the welcome wagon and our ongoing social events, implementing an annual fun walk/run, swim races, health and fitness classes, improve signage, relocating the playground to the lot across from the clubhouse and developing a small park at that site, creating a volleyball court adjacent to the tennis court, and.implementing annual homeowner beautification awards. The board was very receptive to these ideas.

3. Fall Clean up – Rose reported to the Board that the CA Committee wants to add another annual clean up day in October. The Board asked that the Committee move the date of the clean up to a later date in October to provide enough advance notice of the event. They approved the expenditure of $500. for the committee to rent a dumpster or chipper shredder. Members of the committee discussed some of the problems we experienced during the spring clean up. Some members put household trash in the dumpster that was intended for organic yard waste, while others mixed noxious weeds with other organic matter. Since the company that manages the trash dump has very specific requirements for proper disposal, we will need some time to develop accurate guidance for disposing of various types of trash and recycled materials. The Committee decided to change the scope of this next clean up from a Bayshore wide clean up to a volunteer event focusing on cleaning up the main entrance and lot facing Mokmak Lake on Bayshore Drive. This event will be held on Saturday October 10 at 10:00am. Volunteers should show up at the site at 10:00am. Since we will not be renting a dumpster until next spring, we will need several trucks to haul appropriate debris to the dump. The Committee will provide pizza and soda for the volunteers at 2:00pm at the Clubhouse.

4. The Clean up Committee currently has $600 remaining in their budget; however, Bev Simpson and Rose Cummins will turn in reimbursement receipts for items they purchase for the pool party and potluck dinner.

5. Rose will be out of town for the Thanksgiving and Christmas holidays seasons, so the remaining committee members will host a movie night, and the New Year’s Eve Party. Kempton Hewitt will be the primary contact for the New Year’s Eve Party.

6. The group discussed developing a short and long range plan for Community Affairs events, projects, ongoing activities. The members decided to divide up their work on this project, with each team developing a plan for one aspect of our mission statement. The teams are as follows:

Naoma Clark & Marci Douglas - Plan for fostering friendliness within Bayshore
All committee members – Plan for ongoing social events and activities
Kempton Hewitt – Plan for healthy activities and events
Dorothy Bogumil & Rose Cummins – Plan for improving safety within Bayshore
Gary & Bev Simpson – Plan for making Bayshore a more visually pleasing community

Rose will contact Inge Daeschel to ask for her assistance on the healthy activities.

The committee will meet again after the pizza party on October 10 to discuss the status of these short and long range plans.
